Feature
A multi-client workspace built for firm staff
A tool built around a single set of books assumes one province, one chart of accounts, one filing habit. A firm carries fifty sets, each with its own province, its own chart of accounts, and its own habit of sending receipts three weeks late. Veridbooks is organised around that fact from the data model up.
Separation by default
Your firm is its own tenant. Inside it, each client is a separate profile with its own source folders, ledger, tax settings, and integrations. Staff are assigned to specific clients and see only those clients, and that filter is applied when data is loaded rather than by hiding buttons in the interface. A bookkeeper handling six files does not browse the other forty-four.
- Platform admin: operates the hosted platform and manages firm tenants
- Firm admin: manages that firm's clients, staff, and settings
- Bookkeeper: works the clients they are assigned to
- Client portal user: uploads documents and answers questions, sees nothing else
Firm signup, then invite-only staff
Firms can start a Client admin workspace at /signup (Stripe Checkout, then Google claim when enabled). Additional staff are invited and authenticate with Google; anyone without an invitation is refused rather than given a limited view. Customer portal users are invited separately.
Caps that keep automation predictable
Each client has a monthly run cap, and the platform has a global suspend control. Automation that can be triggered repeatedly should have a ceiling: a misconfigured folder that syncs a thousand files in a loop is a cost problem and a noise problem, and a cap turns it into a stopped run instead. Revenue and fee tracking per client sits alongside, so the cost of servicing an engagement is visible next to what it bills.
Working across languages
The staff interface runs in English, French, and Spanish. For a bilingual practice, that means a francophone bookkeeper is not working in a second language all day while an anglophone colleague reviews the same file comfortably in a first.
Common questions
- How many clients can a firm hold?
- There is no fixed limit in the product. Clients are separate profiles inside your firm tenant, and staff are assigned per client.
- Can a client see other clients?
- No. Portal users reach only their own uploads and questions. Staff see only the clients they are assigned to.
- Can we self-host Veridbooks?
- The platform is operated as a hosted service today, with each firm as a separate tenant. Get in touch if your firm has a specific hosting requirement.
